JOB SUMMARY:

The Vice President (VP) of Resource Development will have overall strategic and operational responsibility for the Resource Development team and all related functions at the organization. The Resource Development team ensures the financial sustainability of the organization, such that our critical programs can continue meeting the needs of vulnerable community members. This team is responsible for documenting and communicating our impact to funders, partners, and allies, overseeing strategic partnerships, and pursuing resources that strengthen our mission. The VP of Resource Development will hold deep knowledge of each AAFSC priority area and will translate this deep knowledge into compelling grant narratives, strategic communications, external engagement, and intentional donor stewardship. The position is a part of the senior management team that drives the overall strategy for the organization and represents AAFSC on a local, regional, and national basis.



A successful person in this position has strong administrative and management skills including strategic planning, resource allocation, and coordination of concurrent priorities. He or she will be organized, have high attention to detail and will have the capacity to thrive under pressure while working on multiple projects. A commitment to immigrant, refugee and low-income communities is essential for success in this role.



DUTIES AND RESPONSIBILITIES:

Strategic Leadership & Management:

· Enhance, flesh out, and implement organizational vision as established in AAFSC’s Strategic Plan

and individual program strategic plans while ensuring programmatic excellence.

· Demonstrate consistent quality of fundraising, communications, and continuous quality improvement systems; recommend timelines and resources needed to achieve the program goals.

· Collaborate and coordinate with the Finance team to meet current as well as future programmatic needs.

· Attract, develop, coach, and retain high-performance team members, empowering them to elevate their level of responsibility, span of control, and performance.

· Work with staff to develop systems to ensure consistent, high-quality project and program management.

· Provide leadership in development of inter-team communication and cohesiveness, sustaining culture and supporting staff during organizational growth.

· Know the population being served, external environment, and resources available to the program and its participants.

· Know best practices available to draw upon and how and when to implement them.

· Demonstrate knowledge of federal/state/city laws, regulations and agency guidelines for proposals and negotiations.

· Use knowledge of administrative policies, rules and procedures to oversee processes that ensure compliance.

· Plan and manage time effectively for self as well as all assigned team members, acting on competing priorities with an understanding of their importance to accomplishing program goals.

· Communicate frequently, providing relevant details and context, and listen actively.

· Produce clear and concise written communication (reports, emails, etc.) and presentations.



Strategy and Planning

· Drive the donor cultivation and solicitation strategy; manage prospect research and solicit a portfolio of major donors.

· Communicate clearly the mission, vision and goals of the program & the organization, and alignment to the internal objectives as well as funder objectives.

· Develop and implement a strategy and work plans across each functional area and among all assigned staff members to achieve Resource Development goals.

· Allocate the time and resources needed to carry out activities; coordinate efforts with affected parties; monitor progress and keep parties informed.

· Anticipate obstacles and develop contingency plans to address them; take necessary corrective action when projects go off-track.

· Use experience and expertise to innovate, challenge assumptions and develop new practices when necessary.



Team Leadership

· Identify the key capabilities needed to perform staff roles and use available resources to ensure that the right people are in the right positions.

· Supervise all assigned staff, holding them accountable for all administrative, fiscal, and service delivery requirements.

· Manage and delegate responsibilities involved in day-to-day operations to allow for efficient and streamlined programming; provide ownership of tasks to team members within a culture of accountability.

· Communicate regularly with staff on performance; review and evaluate staff to make recommendation for staff changes as necessary.

· Coach and mentor all assigned staff members while giving constructive feedback as appropriate.

· Be open to and respond appropriately to positive and negative feedback; encourage others to express their ideas and opinions.

· Motivate, develop, and retain staff, providing them with opportunities for professional growth.

· Responsible for the direct supervision and coaching of assigned team members.

· Must ensure that all staff training needs are continually met.



Collaboration & Partnerships

· Proactively network and build relationships with community resources (e.g., community groups, employers, institutions) to support the goals of the program and the organization.

· Involve other stakeholders in problem-solving and decision-making to gain buy-in and alignment.

· Represent the program confidently in interactions with funders, community groups, participants, and other key stakeholders.

· Enhance relationships with existing funders, cultivate relationships with potential new funders through engagement opportunities, meetings, site visits, outreach, etc.

· Engage City Council members and other elected officials in AAFSC’s mission.

· Manage the Resource Development Committee of the Board, as well as ad-hoc committees like the Diaper Bank Committee.

· Support with the growth and development of the Advisory Council and ensure appropriate volunteer and engagement opportunities are in place.



Analysis & Decision Making

· Provide guidance about what funding opportunities we pursue, based on emerging needs within the organization, gaps in funding, need for additional resources, etc.

· Serve as a key decision maker in resource allocation; utilize all the information available from programs, impact/evaluation to make decisions that have maximum impact and greatest return on investment.

· Know when to involve President and CEO and program leads in decisions; have appropriate judgment to know when decisions can and should be made more quickly to seize a funding opportunity.

· Review and analyze program and agency data to ask questions, make decisions and develop strategies to improve program performance.

· Review the data requirements needed for evaluation purposes, implement processes to facilitate its collection and communicate the importance of evaluation to program stakeholders.

· Identify alternative solutions to problems and select those that most effectively support the

· program’s goals and strategy.

· Make difficult decisions even in unclear or poorly defined situations and do so in a timely manner.

· Ensure data entry meets contractual and AAFSC program requirements, including attention to detail, responsibility and dependability in data reporting to external and internal database platforms.

· Assist in the administration of surveys, focus groups and other program assessments.

· Ensure all paperwork and documentation is completed in a timely manner.





Grants & Contracts Management

· Review grants prepared by team to ensure alignment with organizational vision, goals, and objectives.

· In some cases, prepare grant proposals and other grant materials independently.

· Oversee funder site visits, audits, and desk audits.

· Ensure compliance with grant regulations.

· Communicate clearly regarding program objectives and contractual obligations to ensure programs are in compliance with agreements and expectations of the funders.

· Identify program performance criteria that need to be measured to evaluate quality and opportunities for improvement.

· Translate programmatic objectives, priorities, and analysis of current resources into accurate and clear proposals.

· Identify opportunities to use financial resources more effectively to achieve program goals.

· Communicate changes in funding and expectations with program teams; ensure appropriate buy-in is in place and monitor for progress against goals regularly.

· Support and oversee contract management process to ensure that awards are in place.



Liaise with Finance

· Ensure that the finance team is aware of new funding, support with AR coding and reconciliation processes.

· Support with preparation of grant budgets, program budgets, and the preparation of the annual organizational budget.

· Ensure that invoices are being prepared and submitted in a timely manner.

· Monitor for payments against pledges and follow up with funders as needed.

· Provide informed guidance about potential funding opportunities so that appropriate hiring decisions can be made.

· In some cases, prepare budgets for funding proposals.

· Support the finance team in preparing for the annual financial audit.

· Provide guidance to program teams about available funds and permissibility of use.



Communications & Advocacy

· Oversee external communications efforts; ensure that brand messaging is aligned with mission, vision, goals, and objectives

· Support with organization’s advocacy work, including oversight on campaigns, coalition engagement, and partnership building efforts.

· Support with Research Institute efforts, as needed.





Ambassador & Champion

Every AAFSC team member serves as an ambassador of the organization and champion of AAFSC’s mission, vision, and values. This includes the following:
Cultivate relationships on behalf of and in support of the organization in partnership with Senior Leadership and the Resource Development team. This includes being sensitive to and aware of others, providing every client, partner and participant with high-quality service, professional communication, and follow through, and always keeping Senior Leadership and the Resource Development team aware of any opportunities, challenges, or updates.
All team members are expected to support the Resource Development team with any requests in a timely manner, including, but not limited to: grant applications, reports, attendance at meetings, hearings, or other events, and sharing of AAFSC social media, flyers, and other externally-facing communications.
Demonstrate a willingness to respond to evolving community needs, including, but not limited to, making referrals in light of community needs, supporting with the development of and implementation of new initiatives or programming, and raising awareness of new or evolving needs.
Always act with integrity, positivity, dedication, and professionalism within the office and externally. This includes, but is not limited to, email communication, verbal communication, communication with colleagues and peers, communication with clients, or communication with external partners or agencies.


Other duties and responsibilities

· Participate in AAFSC meetings, trainings, and events.

· Perform other duties assigned as necessary.

· Attend external meetings and trainings as scheduled.



EDUCATION, EXPERIENCE AND SKILL QUALIFICATIONS

· Bachelor’s degree required.

· Minimum of 7 years of experience with demonstrated results in the field of Resource Development and progression of supervisory responsibilities.

· Experience working with immigrant, refugee and low-income communities preferred.

· Excellent writing, interpersonal, and organizational skills are required.

· Strong technology skills, including using Microsoft Office products as well as navigating and using government and internal databases.

· Flexibility to work occasional evenings and weekends to manage crises, attend events, or meetings.

· Must demonstrate the ability to exercise discretion and uphold confidentiality.

· Job contingent on pre-employment background check and fingerprint clearance.

· U.S. Work Authorization is required.

· Excellent organizational, time-management, follow-up, and administrative skills with attention to detail.

· Proven office management, administrative or assistant experience.

· Demonstrated knowledge of office management responsibilities, systems and procedures.

· Strong proficiency in MS Office.

· Knowledge of accounting, data and administrative management practices and procedures.

· Knowledge of clerical practices and procedures.

· Knowledge of business and management principles.

· Self-starter with the ability to work independently, and as a part of a team, in a fast-paced deadline-driven environment.

· Demonstrated knowledge of HR responsibilities, systems and procedures.

· Must be able to exercise discretion and confidentiality at all times.
