We are seeking a dynamic and detail-oriented Contract Property Administrator to join our team. This role is integral to our operations and requires a highly organized individual with a keen eye for detail. The successful candidate will have a flair for multitasking, maintaining excellent communication, and providing outstanding customer service. This is an exciting opportunity to work in a fast-paced environment where you will be responsible for a wide variety of administrative tasks related to property management.

Responsibilities:

As a Contract Property Administrator, your duties will include but are not limited to:

1. Answering and directing phone calls to the appropriate parties and taking messages as required.
2. Maintaining up-to-date rosters and contact lists for tenants and vendors.
3. Processing invoices and ensuring timely payments.
4. Keeping track of vendor/tenant certificates of insurance and ensuring they are up-to-date.
5. Providing excellent customer service to our clients and vendors, addressing their concerns and queries promptly and professionally.
6. Assisting in the preparation and maintenance of property-related documents and contracts.
7. Coordinating with different departments and stakeholders to ensure smooth operations.
8. Utilizing Microsoft Office Suite for various administrative tasks.
9. Meeting deadlines and managing tasks with a high sense of urgency.

Qualifications:

The ideal candidate for the Contract Property Administrator position should have the following qualifications:

1. 1-3 years of experience as an Administrative Assistant or Property Administrator.
2. Proven experience in answering phones, maintaining contact lists, and processing invoices.
3. Excellent written and verbal communication skills.
4. Strong customer service skills with an ability to address queries and concerns effectively.
5. Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
6. High attention to detail and a strong sense of urgency.
7. Ability to multitask and prioritize tasks effectively.
8. Experience in maintaining and tracking vendor/tenant certificates of insurance.
9. A proactive approach to problem-solving and the ability to work independently as well as part of a team.
