We are seeking a highly organized and responsible Office Manager & Executive Assistant to join our dynamic tech team. This individual will provide key support to our executive team, managing administrative and office duties to ensure our operations run smoothly. This is a permanent, full-time position that requires a candidate with exceptional multitasking abilities, excellent communication skills, and a knack for problem-solving.

Responsibilities

1. Office Management: Oversee the daily operations of the office, ensuring efficiency and smooth workflow. This includes managing office supplies, coordinating with vendors, and maintaining a clean and organized workspace.

2. Executive Support: Provide high-level assistance to our executive team, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.

3. Communication: Serve as the primary point of contact for internal and external stakeholders. This involves handling correspondence, answering calls, and liaising with clients or partners.

4. Financial Management: Assist with budgeting and expense reporting using tools like Expensify and Concur. This also includes processing invoices and managing financial paperwork.

5. Event Coordination: Organize office events, meetings, and team-building activities. This includes coordinating office lunches and other catering needs.

6. Technology: Utilize a range of software tools and platforms, including Microsoft Office Suite and Google Suite, to streamline processes and improve productivity.

Qualifications

1. A minimum of 5 years of experience in office management.
2. At least 3-4 years of experience as an executive assistant.
3. Excellent written and verbal communication skills.
4. Strong organizational and multitasking abilities.
5. Effective problem-solving skills with a proactive approach.
6. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Suite.
7. Experience with expense management tools like Expensify and Concur.
8. Proven experience in managing complex calendars and coordinating travel arrangements.
9. Ability to maintain a high level of discretion and confidentiality.
10. A positive attitude and the ability to work well in a fast-paced, collaborative environment.
