Job Details

Efficiently manage and prioritize an active calendar of appointments, events, and meetings, ensuring the partner is well-prepared and informed.
Collaborate closely with the partner, proactively addressing upcoming commitments and resolving conflicts with discretion and efficiency.
Take initiative to ensure the partner's readiness for daily tasks, meetings, and business travel.
Screen calls and in-person requests, exercising sound judgement as a gatekeeper to maintain the partner's schedule integrity.
Streamline correspondence, ensuring confidentiality and accuracy.
Handle document management tasks including copying, scanning, and electronic filing.
Arrange detailed travel plans, itineraries, and agendas, adhering to firm guidelines and preferences.
Prioritize tasks, manage deadlines, and follow through on projects with minimal supervision.
Enhance the partner's reputation through ownership of additional tasks such as social media coordination.
Provide backup support to other team members as needed, demonstrating flexibility and adaptability.
Actively contribute to process improvements and foster a culture of innovation within the team.
Perform complex administrative tasks independently, exhibiting exceptional judgement and discretion.
Represent the firm and leadership with professionalism and integrity at all times.

  • Client Billing Responsibilities:
Review monthly bills for accuracy and consistency, ensuring adherence to engagement terms.
Respond to client requests for estimates and assist in monitoring accounts receivable and collections.
Coordinate closely with billing coordinator to execute billing and collection instructions accurately.
Possess knowledge of finance systems for client billing purposes.
Handle and track deal wire payments and occasional client investment checks.

  • Business Development and Client Maintenance:
Support partner in business development efforts including maintaining key contacts, coordinating pitch meetings, and preparing presentations.
Assist in client maintenance activities such as onboarding new clients, managing social media presence, and staying updated on client news.
Manage partner's social media profiles and maintain relevant information.

  • Practice Administration:
Maintain and update reports and budgets, and prepare materials for practice group meetings and initiatives.
