Our client is seeking a highly organized and detail-oriented Executive Assistant to support our dynamic finance team. This is an exceptional opportunity for a professional individual with a strong background in executive assistance and a keen interest in the finance industry. The ideal candidate will have a minimum of 3+ years of experience in a similar role, with a proven track record of exceptional time management, organization, calendar management, and communication skills. Responsibilities:
  • Provide comprehensive administrative support to the executive team, including but not limited to, managing calendars, arranging meetings, and coordinating travel arrangements.
  • Act as the first point of contact for the executive team, handling correspondence and phone calls in a professional and efficient manner.
  • Prepare and edit correspondence, communications, presentations, and other documents as needed.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives.
  • File and retrieve documents and reference materials.
  • Monitor, screen, respond to and distribute incoming communications.
  • Liaise with internal staff at all levels and interact with external clients and stakeholders.
  • Organize and maintain the office filing system.
  • Assist in the preparation of regularly scheduled reports.
  • Prepare and monitor invoices and expense reports.
  • Handle confidential documents ensuring they remain secure.
  • Perform other related duties as assigned, supporting the efficiency and effectiveness of the executive team.

Qualifications:
  • A minimum of 3 years of experience as an executive assistant or in a similar role.
  • A degree in Business Administration or related field is preferred.
  • Strong knowledge of office procedures and basic accounting principles.
  • Excellent time management and organizational skills with an ability to think proactively and prioritize work.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Exceptional calendar management skills, with the ability to coordinate complex executive meetings.
  • Strong communication skills, both written and verbal, with the ability to effectively communicate with all levels of the organization.
  • High level of discretion and confidentiality.
  • Ability to work in a fast-paced, dynamic environment.
  • Strong problem-solving skills and the ability to make decisions under pressure.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Attention to detail and problem-solving skills.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
