Job Details

Responsibilities:

1. Manage the daily operations of the office, ensuring that all processes and procedures are completed, the quality of work is high, and operations run smoothly.
2. Answer and direct calls on a multi-line phone system, ensuring that all inquiries are handled promptly and professionally.
3. Coordinate and manage client interactions, acting as the primary point of contact for all client-related issues.
4. Provide exceptional client service, going above and beyond to ensure that all client needs are met and expectations are exceeded.
5. Coordinate and manage schedules, appointments, and meetings.
6. Provide administrative support to the management team, assisting with tasks such as document preparation, data entry, and project coordination.
7. Ensure that all office supplies are stocked and organized, placing orders as necessary.
8. Assist with the onboarding of new employees, providing training and support as needed.
9. Maintain a clean, organized, and efficient office environment.

Qualifications:

1. Minimum of 2 years of experience in an office management role, preferably in the construction industry.
2. Proficiency in using a multi-line phone system.
3. Exceptional client service skills, with a proven track record of successfully managing client interactions.
4. Excellent communication skills, both written and verbal.
5. Strong organizational skills, with the ability to manage multiple tasks simultaneously and meet deadlines.
6. Proficiency in using office software, including Microsoft Office Suite.
7. Ability to work effectively in a fast-paced, deadline-driven environment.
8. High level of professionalism, with the ability to maintain confidentiality at all times.
9. Strong problem-solving skills, with the ability to think on your feet and make effective decisions under pressure.
