We are seeking a detail-oriented and organized Payroll/Accounts Payable Specialist to join our finance team. This role will be responsible for accurately processing payroll and accounts payable transactions for multi-state locations in a timely manner, ensuring compliance with company policies and regulations. The ideal candidate will possess strong analytical skills, attention to detail, and the ability to prioritize tasks effectively.

Job Details

Essential Duties & Responsibilities

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time.

1. Payroll Processing

· Calculate and process employee payroll accurately and on time using payroll software

· Verify hours worked, overtime, deductions, ensuring compliance with company policies and applicable regulations

· Address employee inquiries regarding payroll-related matters and resolve discrepancies promptly

2. Accounts Payable

· Process vendor invoices and employee expense reports for payment, ensuring accuracy and completeness of documentation

· Match invoices with purchase orders and receiving documents and obtaion necessary approvals for payment

· Prepare and process electronic payments, including checks, ACH transfers, and wire transfers, in accordance with payment terms

3. Recordkeeping and Reconciliation

· Maintain accurate records of payroll and accounts payable transactions, including journal entries and reconciliations

· Reconcile payroll and accounts payable accounts to ensure accuracy and completeness of financial data

· Prepare month-end and year-end reports and assist with financial audits as needed

4. Compliance and Reporting

· Ensure compliance with federal, state, and local payroll tax regulations, including withholding, reporting, and remittance requirements

· Prepare and file payroll tax returns and other statutory reports accurately and on time

5. Process Improvement and Efficiency

· Identify opportunities to streamline payroll and accounts payable processes and improve efficiency

· Recommend and implement process improvements, automation solutions, and best practices to enhance accuracy and productivity

Requirements


Requirements:

· Relevant experience or accounting degree

· High School Diploma or equivalent

Experience and Skills:

· Experience with payroll software (ADP, Paylocity, Paychex etc)

· Demonstrated understanding of payroll tax regulations and compliance requirements

· Attention do details and accuracy

· Ability to pivot and prioritize multiple tasks

· Analytical and problem solving skills

· Demonstrate high level of integrity in handling sensitive payroll and financial information
